The Rosenstiel School Motor Pool plays an important role in providing transportation services for faculty, staff, and students with safe, sustainable, transportation options for business purposes. The Motor Pool currently has 5 vehicles in its fleet consisting of utility trucks and vans that may be used locally and within the state.

  • New Driver Authorization

  • Requesting Use of Vehicle

    • Reservation request are to be made by emailing motorpool@earth.miami.edu
    • Please include the following on your reservation request:
      • Type of vehicle needed
      • Who will be driving
      • Desired departure and return dates and times
      • Destination
    • The Motorpool department will send a confirmation email regarding the request.

  • Vehicle Pick-Up and Return

    Departing Vehicles

    • The University employee or student scheduled to check out a vehicle is to pick up the keys at the Campus Safety guard house at the time of scheduling. Campus Safety officers are only authorized to release vehicle keys to that person.  Requests to check out vehicles from persons other than the employee/student for which a vehicle has been scheduled may be denied.
    • Each driver is encouraged to inspect the vehicle for damage prior to departure and report findings to Campus Safety officer.
    • At vehicle check out time, drivers are to record the fuel amount prior to departure

    Returning Vehicles

    • Vehicles are to be returned by the time indicated at the time of scheduling. Failure to comply may greatly inconvenience another traveling group
    • Vehicles are to be refueled and returned with the same fuel level upon picking up vehicle.
    • Vehicle keys are to be returned to a Campus Safety officer
    • The driver is responsible for removing all trash from the vehicle.
    • Driver is to inspect the vehicle for damage upon return to the campus and must discuss any damage with Security.

  • General Information

    • Report any mechanical or safety issues to the Motorpool Department.
    • All occupants shall properly utilize the seat belts
    • University owned Motor Vehicles shall be used for official University business purpose only.
    • Smoking is prohibited inside University owned vehicles
    • Before operating a University vehicle, the driver must ensure that the driver has in their possession a valid driver’s license and is approved as an authorized driver of the University by Risk Management
    • Drivers are not to engage in text messaging when driving a University issued vehicle
    • The university is not responsible for fines, impoundment charges, or other costs resulting from violations of traffic or parking regulations by drivers of university vehicles. If a fine or charge is levied, it is paid by the person to whom the vehicle was assigned when the violation occurred
    • All vehicles are equipped with:
      • SunPass transponders. Simply drive through the SunPass lane at the posted speed so the license plate may be recorded
      • Emergency instructions in the event of an accident may be found in the glove compartment.
      • Tire inflator. The portable air compressorand air pump is designed to quickly and easily inflate car tires.
      • Roadside emergency car kit with jumper cables

  • Vehicle Breakdowns / Accidents

    • Immediately report any mechanical or safety issues to Campus Safety at 305-710-7991
    • 24/7 Roadside Assistance with Better World Club 1-855-813-3785
    • Under NO circumstances should the driver abandon a Motor Pool vehicle without being given explicit permission to do so or unless there is a life/safety issue that deems it necessary.
    • If a Motor Pool vehicle is involved in an accident, the following procedures must be observed:
      1. Locate the insurance information and accident information forms which may be found in the glove compartment in each vehicle.
      2. Make no statement concerning guilt or innocence.
      3. Contact local law enforcement or highway patrol to do a report of the accident regardless of the damage to either vehicle or if the other driver tells you it is not necessary.
      4. Immediately obtain the license plate information from the other vehicle in the event they try to leave the scene of the accident.
    • Notify the Motor Pool department of any vehicle accident or damage regardless of how minor in order to assess and determine drivability of the vehicle.
    • Damage to vehicles which is deemed to be from operator negligence may be charged to the department responsible for the reservation of the vehicle
