Retain Material from your Accounts

When you end your association with UM, your access to UMIT/Rosenstiel School computer services will be terminated or restricted. See the Account Termination page for details. You should copy any material you wish to retain from UM accounts to personal storage on non-UM accounts. You must do this before your termination date, as you may lose access to the UM accounts on that date or soon thereafter.

Email

Email accounts are closed for staff on your termination date. Departing faculty retain their accounts for one year after the termination date. Alumni and retired faculty retain their email account. When your account is flagged as terminated by UM administration, your CNumber and Login access are withdrawn. You will no longer be able to access your account or any email in stored folders associated with the account. Be sure to copy out your email folders, set up email forwarding, and a vacation message well before your termination date. You can do that from https://mail.miami.edu.

Restore Email Account for Research Personnel

Alumni accounts do not expire, but for non-alum research persons, if an expired account needs to be retained for them to continue working on the UM research and publications, then the supervisor/principle-investigator for the departed person should submit an EDR form, https://www.it.miami.edu/wda/it/Electronic Data Request Form.pdf. This should be done in a timely manner before the accounts go inactive; certainly within a month of account termination. Contact rcf-support@rsmas.miami.edu [Ext. 54028] for assistance.

NOTE that forwarding and message email (below) depend on the fact that there is a delay between closing your account access and removing your account. Once your account is removed, forwarding and vacation message services will be terminated (usually several months).

  • If your email account is to be closed, set up a forwarding address in mail.miami.edu that points to your new permanent or personal email address. To forward messages:
    • Settings (GearICon) > [Search: inbox rules] > Inbox rules > Inbox and sweep rules
    • Add (+) a rule for arriving messages to [Apply to all messages]
    • Redirect the message to... your new/personal address. Select the address from your Contacts
    • Also add Delete the message so they don’t accumulate in your UM mailbox
    • [OK]
  • Set up a Vacation email to tell your correspondents that you are no longer at the UM address they used, and that all email to you should be sent to newaddress@new.place. Go to mail.miami.edu, GearIcon > Automatic replies, and set up the message. Then click OK
  • Copy all the folders/messages you wish to retain to your personal email account. For Gmail, see the Accounts and Import settings. During setup, click Import mail and contacts. During configuration, your username is CaneID@miami.edu. On the Import options page during configuration, I check ALL the boxes.

Cloud Storage

Access to your UM cloud storage accounts at Box and Google Drive is closed at account termination.

  • You can copy your material from UM Cloud storage to personal storage such as DropBox, a personal Google account, or your own non-UM computer or drive.
  • Prior to account closure, you can transfer ownership of Box and GoogleDrive to another UM account owner, say your PI or another UM research associate.

    • For Google Drive, access GearIcon > Help on the web page and search for change file ownership.
  • You can copy your material from UM Cloud storage to personal storage such as DropBox, a personal Google account, or your own non-UM computer or drive.
  • After account closure, files are retained for 180 days before deletion. Prior to that time, you can ask that GSO or your Department Chair ask UMIT for an access window where you can copy your files to your personal storage.
  • If you use Rosenstiel School personal web/ftp storage on newkrystal.rsmas.miami.edu, your files are archived locally for a period after account termination. Contact UMIT-Rosenstiel School for access.

CCS

Your CCS account will be closed when your UM account is terminated. Prior to that time, you should recover a material stored on your CCS account that you wish to retain. You can copy it out to personal storage and/or transfer it to another CCS user. Your material will be retained by CCS for 90 days past termination. If you get Guest Access to UM Email and VPN after departure while the material is still retained, you can contact hpc@ccs.miami.edu and arrange to have your account restored.

Other

Your CaneID is used for VPN, LAN access (wired network at Rosenstiel School ) and WirelessCanes. Access to those services will be lost when your Account ID is disabled. The Principal Investigator for your program can request “Affiliate Access” for you that will permit extension of these services. See the Guest Access page.
